UNAIDS considers electronic submission of bids in lieu of physical submissions to be valid.
Electronic submissions must include a scanned, signed page from authorized staff of the submitting entity to validate the bid, and they must contain all documentation normally required for physical bids.
In case of formal competitive processes (RFP and ITB), submissions must be sent to secured email accounts to ensure the submissions remain unopened until the time of the formal bid opening.
In case of submission of both electronic and physical material, the first submission received will take precedence unless it is clearly stated that one submission replaces the other. Submissions received after the deadline (electronic or not), will not be considered.
Electronic submissions can be supplemented by physical submissions if samples or other physical elements are requested by UNAIDS.
